The short answer
What to know first.
A first gorilla brief that lets a DMC design well in one pass carries three layers. The fixed facts: every traveller's name and age as their passport reads, the possible date windows and how flexible each is, and the exit airport if it is already known. The honest layer: fitness and mobility as they genuinely are, the pace the client keeps at home, and what success should feel like for this particular party. The commercial layer: who holds client funds, when the client expects to pay, and how the advisor wants documents branded. With those three layers in one message, Sail returns a NETT design with live permit options rather than a chain of clarifying emails, because gorilla permits are date-locked and passport-issued, and every missing fact costs a day the availability may not wait through.
At a glance
The planning brief.
The fixed facts
Travellers and ages against passports, possible dates and their flexibility, and the exit airport if known.
The honest layer
Fitness and mobility as they are, pace, and what success should feel like for this client.
The commercial layer
Who holds client funds, the payment rhythm, and how the advisor wants documents branded.
Sail returns
A NETT design with live permit options, usually in one pass because the brief was complete.
01
Why gorilla briefs are different
Most safari enquiries can open vaguely and sharpen later. A gorilla file cannot, because the scarcest asset moves first: permits are limited per family per day, issued against passport identity, and in Uganda held only by full payment under the authority's terms. A brief that says 'sometime next summer, probably four people' cannot be priced or held; a brief with date windows and passport ages can be answered with live availability the same day.
So the first message matters more here than anywhere else in East Africa. The advisor who treats it as the design document, rather than an opening pleasantry, compresses weeks out of the file and protects their client from the only real scarcity in the region.
02
The fixed facts
Names and dates of birth as passports read, not as the family uses them at dinner. The age rule is absolute: gorilla trekking is fifteen and over in both Uganda and Rwanda, and a fourteen-year-old discovered late reshapes the whole journey. Date windows with their honest flexibility: 'the second week of July, could slide three days either way' is a brief; 'July' is a conversation.
The exit airport, if known, closes the routing question early: Entebbe and Kigali build different journeys around the same forest. And the party size matters precisely, because Uganda allocates eight guests per habituated family per day, which is the arithmetic behind every private-feeling trek conversation.

03
The honest layer
Fitness written as it is, not as the client wishes: a trek can be a firm forest walk of an hour or a full day on steep ground, and the sector choice, porter plan and pacing all build from this one disclosure. Mobility notes, recent surgeries, altitude concerns and anything a slope would surface belong in the first brief, stated plainly.
Then the line most briefs omit: what should this journey feel like when it has worked. Quiet and private, or social and celebratory; photography-led or presence-led; the forest as the whole point or as the crown on a longer route. One sentence of intent steers a hundred design decisions.
04
The commercial layer
Who holds client funds, and on what rhythm the client expects to pay: permit deadlines are the authority's, so the money path must be agreed before the design depends on it. How the advisor wants paper branded: Sail's white-label standard means every client-facing document carries the advisor's identity, and saying so up front means the first proposal already looks right.
State the commission conversation plainly too: Sail quotes NETT, the advisor sets the client price, and permits pass through at the authority's figure. A brief that closes with 'NETT please, we mark up ourselves' gets a file built exactly that way from the first line.
Questions travellers ask
Useful answers, before you decide.
What single omission slows a gorilla brief most?
Ages. Permits are age-governed and passport-issued, so a brief without dates of birth cannot be turned into held permits. Passport-accurate ages in the first message save the most time.
Should the advisor name a lodge in the first brief?
Name a taste, not an address. The permit's sector decides which lodges serve the trek, so 'small and forest-immersed' or 'polished and social' steers better than a specific property that may sit at the wrong gate.
How fast does Sail answer a complete brief?
A complete brief is usually answered with a NETT design and live permit options in one working pass. Incomplete briefs are answered with questions, which is the slower road.
