The agreement
These general terms apply to travel services arranged by Sail Adventures Tours and Travel Ltd, trading as Sail Safaris DMC. Your accepted proposal, invoice and any journey-specific conditions form part of the agreement. Where a journey document expressly differs from these general terms, that written journey document controls.
Prices & confirmation
A quotation is subject to availability and is not a reservation. A booking is confirmed only when Sail receives the stated deposit, required traveller details and written acceptance. Prices may be quoted in a specified currency and can change before confirmation because of supplier, tax, park-fee, permit, exchange-rate or government changes.
Deposit & balance
A deposit of 50% of the total trip cost confirms the booking and is payable within seven days of confirmation. The final balance is due no later than 60 days before departure. A booking confirmed within 60 days requires full payment at confirmation. The deposit is not automatically non-refundable: the cancellation schedule below determines the amount retained and any refund due. Any journey-specific supplier condition will be identified clearly in the accepted proposal or invoice before payment.
Payment methods
Bank transfer is normally available. Card payment may be accepted and can carry a processing surcharge of up to 3.5%. Any bank, intermediary, card or currency-conversion cost is borne by the payer unless the invoice says otherwise. Sail confirms the correct account and reference on the invoice; verify any requested change of bank details with us by telephone before paying.
Cancellation by the traveller
Cancellation must be sent in writing. Under Sail’s general schedule, the portion of the total trip cost retained is: 30% when cancellation is received more than 90 days before departure; 50% from 60–89 days; 75% from 31–59 days; and 100% at 30 days or fewer. Any balance above the applicable charge is refunded. Journey-specific supplier conditions apply only where they are identified clearly in the accepted proposal or invoice before payment.
Changes by the traveller
We will try to accommodate a requested change, but availability, repricing and supplier fees apply. A change of name may be treated as a cancellation by an airline, permit authority or supplier. Reducing group size can increase the per-person price for remaining travellers.
Changes or cancellation by Sail
East African travel can be affected by weather, roads, wildlife movements, park decisions, flight changes and events outside reasonable control. We may adjust the sequence, accommodation, transport or activity to protect safety or journey integrity, using a suitable alternative where reasonably possible. Any refund or credit is limited by recoveries from the relevant supplier and applicable law.
Traveller responsibilities
Each traveller is responsible for valid passports, visas or travel authorisations, insurance, health advice, vaccinations, medication and compliance with immigration, airline and park rules. Tell us before confirmation about mobility, medical, dietary or other needs that may affect suitability. Wildlife encounters are never guaranteed.
Insurance & risk
Comprehensive travel insurance is strongly recommended from confirmation, including cancellation, medical treatment, evacuation, interruption and the activities in the itinerary. Safari and outdoor travel involves inherent risks. Travellers must follow the reasonable instructions of guides, pilots, park authorities and property teams.
Problems during travel
Tell your guide, property and Sail operations contact promptly so there is a fair opportunity to help. If a concern remains unresolved, write to safaris@sailadventuresafarisdmc.com with the relevant details as soon as reasonably possible after the journey.
